Five Steps for Planning a Business Meeting

Business conferences and meetings done correctly can boost visibility of your company, and advertise very effectively.  Time and effort will be involved in creating one, however.

Here are five steps to creating a successful business meeting.

 

Set a Theme

The very first step in planning a business meeting should be to set your theme.  You need to be able to pinpoint exactly what the point of your meeting will be.

This will keep your meeting organized.  From here, you’ll be able to book the proper speakers.  This way your speakers and you can target your audience in the correct way.

Decide on a Date for the Meeting

You need to be able to strategically plan when your event will happen.  This way, you can capitalize on your market, and gain more favor.

For example, video game conferences are often held in the autumn time.  This is because a wide range of games are released between the months of November and December.

A conference that is themed around toys might be held during the holiday months for the same reason.

 

Set Your Budget

If you do not set and organize your budget, you could find yourself in some trouble.  The last thing you want to do is go overboard and wind up paying more than you can actually afford.

A good idea would be to create a spreadsheet, saying how much you can spend in total, and how much you would like to spend on each item for your event.  Items such as:

  • A Venue
  • Staff
  • Speakers
  • Catering
  • Advertising on-site
  • Any giveaways

Decide on a Venue

Deciding on a suitable venue is extremely important.  One venue might not work for two separate events, so you need to choose wisely to be able to decide on what venue will suit you and your conference or meeting the best.

There needs to be ample room for all that are invited, and there needs to be a good and appropriate atmosphere.  Here are some questions you might ask yourself when deciding on a venue:

  • Will everything be able to take place in one exhibit hall, or will you need to book some meeting rooms?
  • Will you need hotel rooms nearby or on-site for your guests?
  • Will internet be important to your guests?

Book Speakers as Soon as You Can

You may need to pick suitable speakers for your event.  Make sure to look some up in your network in advance.

Once you’ve found some people who work, contact them as soon as possible with all the details they’ll need for the event.

You’ll also want to confirm how much they would like to get paid so that you can stay within your budget.

    From my view meeting agenda plays as crucial role to conduct productive meetings. We should strictly follow the agenda, then only meeting will become worthy. Budget and venue also matters in meeting success. First and foremost we should create one strong meeting wall so no one should not jump over, i meant every one should participate interactively.
